Approve or decline a session request
Updated August 14, 2026
Who can use this
This flow is available to supervisors when a supervisee requests a session and the request needs approval before it is booked.
Pending requests remain separate from your upcoming sessions until you approve them.
Review and respond
- Open Sessions.
- Select the Pending tab. The badge beside the tab shows when requests are waiting.
- Review the supervisee, date, start time, and duration for the request.
- Open Actions for the request.
- Select Approve session to book the requested time, or Decline session to remove the request.
After approval, Motivo shows Session approved and the session moves to Upcoming. After a decline, Motivo shows Session declined and removes it from the pending list.
If the requested time does not work
There is no edit step inside the pending request. Decline the request, message the supervisee about another time, and either book the new time yourself or ask them to submit a new request.
If a request disappears before you respond, the supervisee may have cancelled it or it may already have been handled. Refresh Pending before taking another action.
Your booking preferences determine whether future supervisee requests need approval. When immediate booking is enabled, an available time goes directly to Upcoming and does not appear under Pending.
Approving a request books the single date and duration the supervisee selected. It does not create a repeating series or change your regular availability. If you agree on an ongoing schedule, approve this request first, then book the repeating series separately.
